HAILSHAM RAMBLERS DATA PROTECTION POLICY

POLICY INTRODUCTION
This policy has been prepared in accordance with the requirements of the General Data Protection Regulation (GDPR) of 25th May 2018, which has been updated as of October 2020, and states how members’ personal data is stored and used by the Hailsham Ramblers.
PERSONAL DATA HELD BY HAILSHAM RAMBLERS
The only personal data held by Hailsham Ramblers comprises members’ contact details, e.g. name, address, telephone numbers, email address and next of kin.
If photographs are taken on walks, walk leaders will ask those members who do not want their images to be shared on our website to stand aside while photographs are taken.
The Hailsham Ramblers records membership payments for each year of membership of the club, but we do not hold any personal financial information about members. We record the minutes of Hailsham Ramblers’ meetings and attendance at AGM meetings for statistical purposes.
STORAGE OF PERSONAL DATA
Members’ personal data is held on a personal computer which is fully secure and contact details are also kept on a hard copy for backup purposes. Personal data of members is held by specific Hailsham Ramblers committee members i.e. chair, treasurer, social secretary and membership secretary. The committee may only use members’ personal data for the purpose of discharging their duties as required by Hailsham Ramblers.
Members’ personal data will not be disclosed to any third party for any reason.
Members reserve the right to request at any time that their personal data held by Hailsham Ramblers is deleted or destroyed, or that changes be made, by giving their instruction in writing to the Membership Secretary of Hailsham Ramblers.
COMMUNICATION WITH MEMBERS
The committee members may communicate with members through their recorded contact details, as permitted by Article 6(1) of the GDPR. If emails are sent to members, they should not disclose the email addresses to any other person. The distribution of any group emails shall use the BCC (blind copy) category.
